HMGS-South Dealer Policies

Fees
Fees:Dealer spaces are approximately 6' x 6' for $50.00.
They include:
* One table per space
* Two chairs
* Two dealer badges

Dealers may pre-register for a maximum of three spaces (6' x18') with the option to purchase additional spaces (if available) after the deadline.

( April 1, 2010 for RECON 10.)

Convention badges must be visible at all times. One additional badge will be provided for each space beyond the first. Additional Dealer 2 Day Pass convention badges may be purchased for $15.00 each.

Additional tables may be purchased at $10.00 each.

Pricing for advertising within the convention's program book is as follows: $20.00 for a business card size, $50.00 for a half page, $100.00 for a full page. Deadline for advertising payments and submission of materials is 30 days prior to the convention.

Full payment and a signed and completed Dealer Registration Form are required in order to reserve a space. Confirmation of space reservation will be given upon receipt of payment.

HMGS-South reserves the right to refuse sale of dealer spaces at our discretion and without explanation.

Location
HMGS-South conventions will be held at a location designated on the Dealer Application form. You may sign up for a dealer's table by returning a completed 2009 Dealer Registration Form and payment. Lodging for the event is the responsibility of the Vendor. Rooms may be booked by calling the Hotel directly. Please ask for the HMGS-South group rate.

Booth Location
Booth location is at the discretion of HMGS-South Staff. Our staff will try to accommodate as many special requests as possible. However, we cannot guarantee specific spaces or locations on site. Priority will be given by order of receipt of payment.

Space Configuration
You may configure your space as you see fit, adding additional stands, shelves, etc, as long as they do not interfere with other dealer's spaces or violate the hotel's room policies, or pose a safety hazard as deemed by hotel or HMGS-South Con staff members.

Linens Please bring your own if possible. The hotel can provide linens but at an additional cost.

Electricity
Please let us know if you require electricity at your booth. Extension cords, power strips, and surge protectors are not provided by HMGS-South.

Internet
Wireless internet connections are usually available in the convention area and are usually free of charge, where available. HMGS-South cannot be responsible for any Internet access.

Liability
Dealers will comply with all local, state, and federal laws. We will not provide a bag check or Staff security for dealers. Please take extra precautions in the placement of your merchandise and cash to ward against the possibility of theft. Dealers are responsible for their own property, merchandise, money, and personal well-being. Under no circumstances will HMGS-South or its Staff be liable for any personal or property loss, damage, death or injury of any kind to the dealer.

Phones
Land line phone service is not available in the dealer room.

Tax
State sales tax is the responsibility of the vendor to collect according to FL state laws. Sales tax applications: Out of state 1-850-488-6800 / in Florida 1-800-352-3671.

Payment and Space Registration
All dealer space fees and any program book advertising payment must be received before the pre-registration for each convention. Dealers must make payments in the form of money order, certified/cashier's check, business account check or via Pay Pal. NO PERSONAL CHECKS, NO EXCEPTIONS! All cashiers checks and money orders should be made payable to: HMGS-South. Pay Pal payments can be made at http://www.hmgs-south.com/store .

Dealer Sponsored Events
HMGS-South Staff must be notified in advance of any event that may draw a crowd such as a raffle or giveaway prior to the convention date. Events may be stopped or moved if HMGS-South Staff deem that there is any overcrowding, security, or safety issues.

HMGS-South Sponsored Events
Dealers are welcome to contribute prizes or monetary support to any of the HMGS-South tournaments and/or Bonnie Blue Buck drawings. Dealers who contribute to either tournaments or to Bonnie Blue drawings may have their names listed on HMGS-South promotional materials and/or our website as contributors.

Prohibited Items/Merchandise
Keep in mind that HMGS-South conventions are family oriented events. If you have a doubt about some of your merchandise you want to sell or advertise, please do not bring it. Anything of above a PG-13 nature should not be brought to the convention to sell. Dealers will be asked only once to remove offending items from their space. Failure to comply will result in removal of the dealer from the convention without refund of all paid dealer fees. The acceptability of merchandise for sale at the convention is at the sole discretion of HMGS-South Staff. If pornography of any kind is found, the offending merchant will be immediately reported to the proper authorities. Items, which may not be sold or advertised include, but are not limited to:
* Offensive or derogatory t-shirts.
* No Adult or pornographic materials of any kind. This includes hentai, yaoi, yuri, shounen-ai, and shoujo-ai as well as any other materials deemed Adult or Pornographic by HMGS-South Staff.
* Bootleg, Knockoff, or Pirated merchandise of any kind. This includes unlicensed apparel, videotapes, video CDs, DVDs, fansubs, wall scrolls, or any other reproductions of a product released by a licensed company.
* No illegally reprinted or reproduced materials under copy right or trademark.
* Firearms.

Cancellation and Refunds
Dealers may cancel their space reservations by contacting the convention director to make arrangements.

Dealers will receive a full refund of dealer space fees canceled 30 days before each convention, and a refund of half the space fees if canceled less than 30 days before the convention.

Dealers, who cancel dealer space reservations or payment, give up any claim or reservation to the canceled space. Canceled spaces are returned to the pool of available spaces at the standard prices.

Without prior notification any vendor spaces not claimed by 10:00AM on the Saturday of the event will be considered forfeit and will be reclaimed by the convention.
